3. Our Role When We Serve Clients
For information we collect about website visitors, enquirers, job applicants and our own business contacts, Kairos is the data controller. We decide how and why that information is used.
For personal information inside our clients’ systems (such as records in a client’s ERP, or driver and journey data in KFMS), our client is the controller and Kairos acts as a data processor or service provider. We handle that information only on the client’s documented instructions, under a confidentiality and data processing agreement. If your information is held by one of our clients, please contact that organisation first to make a privacy request, and we will help them respond.
4. Sharing Your Information
We do not sell your personal information, and we do not share it for cross-context behavioural advertising. We share it only with:
- Service providers who help us run our business (such as website hosting, email, CRM, analytics, cloud storage, and mapping, routing and geocoding providers). They must keep it confidential, protect it to a standard at least equal to this Policy, and use it only for the services they provide to us.
- Technology partners, such as Epicor, where needed to deliver or support the products and services you have requested.
- Your organisation, where your account is provided by your employer. For example, personnel with access to fleet management functions can see KFMS journey and location data, and that data may be recorded in the organisation’s Epicor system.
- Our related entities within the Kairos group, which follow this Policy.
- Professional advisers, auditors and authorities where required by law or to protect our legal rights.
- A buyer or successor if Kairos is involved in a merger, acquisition or sale of assets, subject to this Policy. We will notify you before your information becomes subject to a different privacy policy.
- Anyone else only with your consent or at your direction.

We operate across the Asia-Pacific region, and some of our service providers are based overseas, including in [Indonesia, Singapore, Australia, the United States]. Your information may therefore be stored or processed in countries other than the one where you are located.
When this happens, we take reasonable steps to protect it in line with this Policy and applicable privacy laws, such as using contractual safeguards (including standard contractual clauses where required) and choosing providers with recognised security standards.

8. Data Security
We use administrative, technical and physical safeguards designed to protect personal information from loss, misuse, and unauthorised access or disclosure. These include:
